Your portfolio and companies

How to add a company, set its details and defaults, find your way around the Portfolio and a company's page, and where the books live on your Mac.

The Portfolio screen

Portfolio is Haruno's home page: the first row in the sidebar (⌘1). It lists every company in your portfolio. Companies have no rows of their own in the sidebar: you open one from the Portfolio, or from the company list beside any company's page.

Company, client and books
Haruno's word is company: a client whose books you close, or a company you invest in. Some messages that come from the books themselves still say client; client means company. A company's books are everything Haruno holds for it: files, mapping and ledger figures. Reports are drawn from them.

What the page shows

What you seeWhenWhat to do
“Build your portfolio”, with Add company and Import existing books…Your books hold no company yetAdd your first company. Companies from an earlier version of Haruno are not brought in by themselves: use Import existing books….
Tiles reading “—” with “No report yet” (Companies counts yours), and one card per company reading “No report yet”No company has closed a monthFinish each company's setup. A company that has not reported never shows a zero balance.
Six tiles with figures, then a Cash by company chart (Cards layout only), then cards or a tableAt least one month has been closedCompanies still in setup are listed after the reported ones. Cash by company ranks every reported company's cash, largest first, one list per currency; click a bar or a card to open a company.
A collapsed “Archived (N)” section at the foot of the pageYou have archived a companyClick Restore beside a company to bring it back, or, on a Mac, Delete Company Data… to erase its books for good.
“We couldn't load your portfolio”The books could not be readClick Try again. If it says “This version of Haruno can't open your portfolio. Update Haruno, then try again.”, choose Haruno ▸ Check for Updates… first.

In the toolbar, Close month… opens the close for the whole portfolio (see Closing several companies) and + adds a company. The tiles, cards, table and toolbar: The portfolio view. If the Portfolio can't load: Companies and the Portfolio.

Open a company

Click the company's card, or double-click its row in the Table layout. To go back, click Back to Portfolio, press ⌘1, or choose Books ▸ Show Portfolio. Haruno returns to the company you had open the next time you launch it. To move to another company, click it in the company list beside the page.

A list of your companies sits beside the Portfolio and beside every company's page. Each company shows its health dot and name, a line saying why when the dot is amber or red, then Cash and Runway, its open findings (“no open findings” when there are none), its close state when that is not fully reconciled, and how many new files have arrived. A company with no report yet shows No report yet and its next step. The list is in name order and marks the open company in grey. Drag its edge to resize it; Haruno remembers the width. It gives way when the window is too narrow to hold it beside the page, and it is not shown before you have added a company.

On Windows: Haruno for Windows has the Portfolio and the company pages too. Portfolio is the first row in its navigation list, with no ⌘1 and no Books menu; Add company and Close month… are buttons in the Portfolio toolbar. This page says where else Windows differs; see also Differences from Haruno for Mac.

Add a company

When you are signed in, the Company details sheet opens on From QuickBooks (see Add a company from QuickBooks) and offers Add manually, in the steps below. On Windows the tabs read Fill in by hand and From QuickBooks, and the sheet opens on Fill in by hand.

Only the name is required. Saving opens the new company's page, where you add its QuickBooks exports; the other details can wait until you are ready to approve its mapping.

  1. Open the Company details sheet.

Click Add company on the welcome page or + in the Portfolio toolbar, or choose Books ▸ Add company…. If the sheet opens on From QuickBooks, choose Add manually.

  2. Type the company's name.

Use the name you want on its reports, in Company name (required). Renaming the company later changes the name they print, and its closed months stay with it. See the rules for names.

  3. Add the company's details now, or leave them for later.

Company details (optional) opens Tax jurisdiction, Legal entity type, EIN, Address, Reporting currency and Fiscal year-end month. Use these fills the last two from your books defaults. See Company details.

  4. Click Save.

The company's page opens on its first setup step; continue with Add data. Cancel (Esc) adds nothing.

Set the currency and year-end early
Haruno will not approve a company's mapping, or create its first report, until both the reporting currency and the fiscal year-end month are set. If you know them now, set them now.

A company added by hand gets its figures from the QuickBooks Online exports you add, at minimum a Balance Sheet and a Profit and Loss (see QuickBooks exports). Adding a company does not change your subscription by itself: tell our team when you take on a company or stop working with one (see Pricing).

Add a company from QuickBooks

From QuickBooks lists the companies your organization has connected that are not on this Mac yet and not archived (for a personal organization, the companies you connected yourself). Pick one and click Add to this computer: Haruno creates the company's books, starts fetching its months and opens its page. The books start with the company's name and, where QuickBooks gives them, its country and, when it gives both, its reporting currency and fiscal year-end. To connect a company that is not listed, click Company not listed?, then Connect to QuickBooks; only an organization admin can (see Connect a company).

Move a company from Excel files to QuickBooks

Where books on this Mac already carry the name of a listed company, the sheet offers Link instead of Add to this computer: it ties those books to the QuickBooks company, and they keep reading their Excel files until you click Use QuickBooks from now on… on the company's page. The move reads every month again from QuickBooks, reopens and restates the closed months, and drafts the mapping again for you to approve. The first close after you approve it makes the move, and nothing is undone after that; until then Keep using Excel takes it back.

Company details

Company details are what you set yourself rather than Haruno reading them from the exports: tax details, an address, a headcount, and the reporting currency and fiscal year-end every report depends on. On Windows the sheet has no fields to type an address into; for a company linked to QuickBooks it offers QuickBooks' address, with Use.

FieldWhat you can enter
Tax jurisdictionUnited States. United Arab Emirates, Japan and Taiwan show “(soon)” and can't be chosen yet.
Legal entity type (United States only)Limited liability company (LLC), Corporation, Partnership, Sole proprietorship, Nonprofit corporation, Other
EIN (United States only)Nine digits, with or without a hyphen, such as 12-3456789. A format check, not an IRS lookup.
AddressCountry or region (20 countries), Street (two lines), City, State or province and Postal code. The investor report prints it; a country alone prints nothing. For a company linked to QuickBooks, a line “QuickBooks: ‹address›” with Use fills in QuickBooks' address.
Reporting currencyAny ISO currency code. Never converted; fixed once a month has been closed.
Fiscal year-end monthJanuary to December. Can change after a close; the change applies from the next close.
HeadcountNumber of people (0 to 1,000,000) and the month it is as of (up to 35 months back). Offered when you edit a company, not when you add one. The Overview's headcount and per-employee figures use it unless an operating inputs sheet gives one.

The three tax fields are optional, and the close does not use them today; leave them empty for a company outside the United States. The EIN is stored in the books folder, which a chat can read, so it can go with a chat message (see A conversation sends what is in it). There is no sector field: the Portfolio shows a sector only when a company's mapping records one.

Why the currency and year-end matter

Reporting currency. Haruno never converts figures, so every file a company sends must be in its reporting currency. An ordinary QuickBooks export states no currency and is read as being in it; a file that states another currency is refused at close, and that company's close does not finish (see When the close refuses). Across the portfolio, figures in different currencies are not added up: the combined tiles show “—”.

Fiscal year-end. It sets how quarters and years are grouped in period-over-period comparisons, how a trial balance dated only “as of” is read, and the month year-to-date figures and the budget window start from. See Period over period and Year to date and the fiscal year.

Both or neither. The two are saved together, and once saved they can be changed but not cleared.

Where the suggestions come from

While a company has no reporting settings saved and no month closed, a line under the month picker suggests a pair. Use these fills both pickers; nothing is saved until you click Save.

SituationWhat is suggested
Adding a company; editing one with no drafted mapping, or whose files declare no currencyYour books defaults.
Editing a company whose drafted mapping found one currency in its filesThat currency, with the year-end from your books defaults, since no export states when a year ends.
Files that declare more than one currency, or a symbol that stands for several (¥ is both yen and yuan)Nothing: choose the currency yourself.
Editing a company linked to QuickBooksQuickBooks' year-end month, and its home currency while none is chosen and no month is closed, even beside saved settings: Use these, or Use for the year-end alone.

Edit the details later

Open the sheet with Edit company details on the setup page, Company details in the toolbar of the company's dashboard, or Company details… on the mapping review form. Change what you need, then click Save.

You changeWhat happens
The nameIt changes everywhere in the app, and the company's folder is renamed. Reports print the new name, and closed months stay with the company (below). Locked while files are being copied in.
The reporting currencyBefore any close: written into the mapping, settling its review questions. After a month is closed: not possible.
The fiscal year-endBefore any close: written into the mapping. After a close: allowed; closed months keep their reports, and the new year-end applies from the next close.
Either reporting setting while a mapping draft is runningNot possible until the draft finishes.
Tax jurisdiction, entity type, EIN, address or headcountSaved on the company's record. The mapping is not touched.
The name or a saved reporting setting while the company is moving to QuickBooksNot possible until the move is made or you choose Keep using Excel.

An approved mapping stays approved after a change here, because the change is your decision. A new draft of the mapping needs its own approval (see Approve the mapping).

The name on reports. Renaming a company changes the name its reports print, before or after the first close, and its closed months stay with the company. A name that another company's reports already use is refused.

Defaults for new companies

Settings ▸ Books ▸ New company defaults holds your practice's usual answers, offered only as suggestions: Currency and Fiscal year starts in Company details (a July start suggests a June year-end), and Materiality and Capitalization threshold as a button such as Use the books default, 2500 on the mapping review. Useful life (months) and Depreciation are not offered anywhere today. Nothing becomes a company's answer until you choose it, and changing a default never restates a closed month. Every value and when it is asked: Books settings. On Windows, the gear button in the Portfolio toolbar opens the Books sheet, which holds the same defaults.

The company page

Each company has one page. Until its first month is closed, it is a setup page with four steps; after that, it is the company's dashboard. A company linked to QuickBooks also has a line at the top that says where its months stand, with the buttons that apply: Sync, Reconnect, Manage on dashboard and Remove from this computer.

The setup page

At the top, the Company details block shows Not set for anything missing, with an Edit company details button. Once the company has files, the step rail follows: Add data › Propose mapping › Review the draft › Ready to close. A red box repeats, word for word, any refusal from the books for this company.

StepWhat you do there
Add dataDrop the exports or a folder on the panel, or use Upload files or Open a folder. A company added from QuickBooks has no panel at first: its page reads “Fetching months from QuickBooks…”, or “No months yet” with a Sync button, and the months then show as one line, “From QuickBooks”.
Propose mappingClick Draft the mapping. The files must include a Balance Sheet and a Profit and Loss. A company added from QuickBooks drafts from its synced months.
Review the draftAnswer or confirm the review rows, set the currency and year-end if missing, then click Approve mapping.
Ready to closeClick Close month…, or choose Books ▸ Close Month…. You see what the close will do before anything is saved.

In depth: Add data, Draft the mapping, The review form, Start a close.

When a statement is missing from the mapping

A mapping that does not read both a Balance Sheet and a Profit and Loss sends the company back to Propose mapping, even if it was approved. If the files lack that export, add it with Books ▸ Import Exports…; that alone does not change the mapping. Then click Draft again on the Draft the mapping again card, which replaces the answers recorded in the mapping (see Changing the mapping).

A mapping that reads both statements can still be held back by the files. An approved company whose files cannot be closed as they are, such as a Balance Sheet run before its month ended, or files with no Balance Sheet or no Profit and Loss among them, shows Not ready to close yet in place of Ready to close the month. The card says what is wrong and lists the company's files below it, where you add the export it asks for and remove the file it replaces; the last step of the rail stays unchecked until the files can close.

The dashboard page

After the first close, the page shows Close month…, status chips, the Reports card and the tabs Overview, Statements, Reconciliation, Investor report, Mappings, Findings & questions and Files (see A company's page). Books ▸ Review Mapping… shows the review form again until you approve or click Done reviewing. Books ▸ Import Exports… adds next month's files (see Adding files later). The Files tab lists the company's files and what Haruno made of each, with the same controls for adding more. A file a close has read stays, because its figures are in the months already reported; Remove from Company is offered for the others.

Status on company cards

Before its first close, a company's card reads No report yet, with a chip naming the next step. After a close, it shows cash, burn and runway, a health dot with a line under the name saying why when it is amber or red, a findings chip and, when the close state is not fully reconciled, a close state chip.

Before the first report

ChipWhat it meansWhat to do
Add dataNo files and no mapping yet.Open the company and add its exports.
Fetching months… or SyncA company added from QuickBooks has no months yet: a sync is fetching them, or nothing is and Sync is offered.Wait, or open the company and click Sync.
Continue setupFiles or a mapping, but no report yet, even when the company is ready.Open it. Its setup page shows the step; a ready company reads Ready to close the month, and one whose files cannot be closed as they are reads Not ready to close yet.

On the Portfolio's close sheet, a company that still needs its reporting settings or an approved mapping reads Will not close with its own sentence and an Open company link, and the companies that will close are closed without it (see When a portfolio close cannot start).

After a close

The findings chip counts open high- and medium-severity findings (no open findings, 1 finding, 2 findings…; the Table layout's Findings column says clean instead). The close state chip (fully reconciled, reported with exception, not reconciled, open or not recorded) records what stood when the months were locked, and a card shows it only when it says something other than fully reconciled. After a fix a card can read no open findings beside reported with exception until those months are reopened and closed again. Fully reconciled means the month had reconciliation schedules (from a workbook or QuickBooks reconciliation reports) and no high or medium finding was open; it does not say every balance was reconciled, and it is not an audit opinion. A month with no reconciliation schedules reads not reconciled: no account was tied to one.

Import books from an earlier version

If you used Haruno before it had a Portfolio, your companies are in the review workspace folder you worked in, and the Portfolio stays empty until you import it. If you are new to Haruno, skip this. Haruno for Windows has no such import.

  1. Start the import.

Click Import existing books… on the welcome page, or choose Books ▸ Import Books from a Folder….

  2. Choose the workspace folder itself.

Haruno copies what it recognizes and never moves or changes anything in it.

  3. Read the result, then click Done.

The Books imported sheet lists each company that came across, how much was copied, and anything left behind.

  4. Check each imported company's Company details.

If the reporting currency or fiscal year-end is Not set, set both: a mapping cannot be approved without them.

The import copies each company's exports, mapping and reports, plus the ledger and the portfolio dashboard, and names each company after its mapping, or after its folder when it has none. It is all or nothing: if anything it would copy is already in your books, it copies nothing and names what is in the way.

Import before you start closing in the app
The import never merges. A company with the same name already in your books stops it, and so does a ledger from closes you have already run in the app when the earlier workspace has a ledger of its own.

An imported mapping can arrive without its review questions; its rows then have no controls until you draft the mapping again, which replaces every answer recorded in it (see Draft again). “… holds the books you are importing into — import from somewhere else” means you chose Haruno's own books folder, or one containing it: choose your earlier workspace instead. “… cannot be a client folder in your books, and neither can the name its spec gives it — rename it in the workspace first” means both the company's name in that workspace and the name its mapping gives it break the rules for names, for example because a name is ledger: rename the company in the earlier workspace, or contact support. The other import messages: Importing books from an earlier version.

Where the books are stored

Your books (every company's files, the ledger, the mappings, the company details and each close's adjustments log) live in one folder that Haruno creates and owns on your Mac, by default ~/Library/Application Support/Haruno/Books. Open it with Books ▸ Reveal Books Folder in Finder. Settings ▸ Books ▸ Portfolio location moves the whole folder into an empty folder in your home folder or on a drive. It asks first about a folder a cloud service may sync, it is refused while a close, a draft or a QuickBooks sync runs, and it ends any chat in progress (see Portfolio location). On Windows, the Books sheet, opened with the gear button in the Portfolio toolbar, does the same.

Why there

  • By default it sits outside Documents and Desktop, so iCloud Desktop & Documents does not sync it, and macOS shows no Files and Folders permission prompt for it.
  • Importing, the mapping, closing and the reports happen in this folder, on your Mac, and send nothing anywhere.
  • A Time Machine backup of your Mac includes it.
  • Haruno adds no encryption of its own: your user account and FileVault protect it.
  • It is on this Mac only, so a portfolio is not shared between two Macs or two people.

What is inside

FolderWhat it holds
One folder per company, named after itexports: the files you added, exactly as received, and the months a QuickBooks sync filed. reports: adjustments.csv, the adjustments log its closes write.
ledgerOne ledger for the whole portfolio, each company kept apart, and a retained copy of every file a close has posted.
cfoEvery company's mapping and review answers, its company details (EIN, address and headcount included), and the list of companies.
dashboardsA data file with the portfolio's figures, which the latest close writes.
Change the books only through Haruno
Don't edit, move, rename, delete or add anything in the books folder yourself, in Finder or any other app: a missing or edited file can stop the Portfolio from loading. Add files on the company's page, take copies out with Export…, and move the whole folder only with Portfolio location.

A chat is shown the books beside the folder it works in, read-only, so the assistant can open any company's books to answer; the only part it may edit is a company's mapping, when you ask. Documents it writes for you, such as a memo, are saved in that folder, not in the books (see Documents Haruno writes). Every other change is made with the app's own controls. What a chat sends: Where your data goes.

Getting reports and files out

Removing a company

You archive a company before you can delete its data. Right-click its card, its row in the Table layout or its row in the company list, choose Archive company, and confirm. The company leaves the portfolio and month-end closes and gets no more QuickBooks months, but its books, mapping and closed months are kept. A collapsed Archived (N) section at the foot of the Portfolio lists it, with Restore and Delete Company Data… beside it. Neither archiving nor deleting a company's data changes your subscription by itself: tell our team when you stop working with a company (see Pricing). On Windows, use the company's ⋯ menu and the Archived (n) list; a company can be archived and restored there, but its data cannot be deleted.

Everything the books hold for that company is permanently erased: its files and the copies Haruno kept of them, its figures and closed months with their lock history, its mapping and review answers, its company details, its questions for management and its link to QuickBooks on this Mac. Nothing goes to the Trash, so copy the books folder first if you may need anything (Getting reports and files out). Other companies, your original files, reports you exported, your chats and memory, and the company on the account dashboard and in QuickBooks are not touched; a company connected to QuickBooks can be added again, which sets up its books from nothing (Add a company from QuickBooks). Delete Company Data… is dimmed while Haruno is closing a month, drafting a mapping or adding files to that company. If deleting stops partway, the row says so and offers Retry Delete…. There is no approval step beyond this dialog: anyone using Haruno on this Mac can delete an archived company's data.

Delete local data… removes every company, not one, and only a backup brings them back. More: Removing a file, Changing the mapping, Delete local data.

A company removed or archived on the dashboard stays in your Portfolio with its books as they are. Its card reads removed in QuickBooks or archived in QuickBooks, and no more months are fetched. To delete its data, archive it in Haruno first.

Don't delete a company's folder in Finder: its figures are in the shared ledger and its mapping and details elsewhere in the books, so that removes only part of it and can stop the Portfolio from loading.

Next steps

Once a company is added, sync its months from QuickBooks or export its statements and add them, approve its mapping and close its first month.
